From a meeting recording to decisions someone actually does

Automatic transcripts solved the wrong problem. Nobody needed a longer record of the meeting; they needed to know who owes what.

Meeting transcription arrived in every major tool and changed remarkably little. The reason is that the bottleneck was never capture. Almost nobody re-reads a transcript. What people needed was the decisions, the owners and the dates, extracted and put somewhere they will be seen.

Ask for the output you want

A request for "a summary" produces prose. Ask instead for three specific lists: decisions taken, actions with an owner and a date, and questions left open. That shape is short enough to paste into a channel and specific enough that a missing owner is obvious at a glance.

Do the extraction while people are still in the room

Run it in the last two minutes of the meeting and read the actions out. Anything wrong gets corrected immediately, by the people who were there. Sent an hour later, the same summary gets skimmed and nothing gets corrected.

  • Ask for decisions, owners with dates, and open questions, not a summary
  • Generate and read it out before people leave
  • Put the output where the work happens, not in a document nobody opens
  • A missing owner means the action was never actually agreed

Key takeaways

  • The bottleneck was never capturing the meeting, it was extracting commitments
  • Ask for decisions, owners and dates rather than a summary
  • Read the actions out before people leave, while correction is still cheap
