KMG Infra: a tool nobody had touched, useful by the end of the day
Finding an answer buried in their documentation used to take more than three days. After the session it takes under five minutes.
Introducing a tool that nobody in the room has opened before is a specific kind of problem. Get it wrong and you spend the morning on interface tours while people quietly decide it is not for them. KMG Infra’s team had not used NotebookLM at all.
What we did
We skipped the feature tour and started from documents the team already deals with. NotebookLM earns its keep when it is pointed at a real pile of material, so that is where we started, with trainers moving around the room rather than presenting from the front.
What they said
"A clear, hands-on introduction to a tool most of us had never touched. Real examples from our own projects, and help the moment anyone got stuck. Practical from start to finish, never a dry lecture."
The phrase worth noting is "help the moment anyone got stuck". In a first-exposure session, the gap between hitting a wall and getting unstuck decides whether someone tries again the next day. The team rated it 4.9 out of 5, our highest score to date.
Why it worked
- Started from the team’s own documents, not a sample dataset
- Trainers circulating, so nobody sat stuck for long
- Practical from the first minute, with no lecture segment
- Every participant left having produced something with the tool
What changed
The number that matters came later. Questions whose answers were somewhere in the company’s own documentation used to take more than three days to run down: finding the right file, reading around it, checking it against something else. The same questions are now answered in under five minutes.
That is not a productivity gain in the usual sense. Three days is long enough that people stop asking. Under five minutes is short enough that they ask freely, and decisions start getting made against what the documentation actually says rather than against what somebody remembers it saying.
Key takeaways
- Document searches that took over three days now take under five minutes
- The real gain is that people ask questions they previously gave up on
- For a first-exposure session, response time to a stuck participant beats slide quality
