NotebookLM is the one to reach for when the answer is already in your documents

General assistants guess. A grounded notebook cites. For policy, contracts and onboarding material, that difference is the entire point.

The complaint we hear most about AI at work is that it invents things. Usually the tool was set up to invent: someone asked a general assistant a question about company policy without giving it the policy. NotebookLM inverts that. You supply the documents, and answers come back tied to them.

Where it earns its keep

  • Onboarding material scattered across a dozen documents nobody reads end to end
  • Long contracts where the question is "what does this say about X"
  • Policy and procedure manuals that get consulted rarely and urgently
  • Research and reports where the citation matters as much as the summary

What to watch

Grounding is not the same as correctness. If the source document is out of date, the answer will be confidently out of date and will cite chapter and verse while being wrong. Before you point a team at a notebook, make sure the material in it is the current version, and put someone’s name against keeping it that way.

The other thing to settle first is what may be uploaded at all. A notebook of contracts is a concentration of sensitive material. Agree the boundary before people start uploading, not after.

Key takeaways

  • A grounded notebook cites its sources; a general assistant guesses
  • Grounding does not fix a stale source document, so name an owner for the content
  • Decide what may be uploaded before the team starts uploading
